All items in the online Coolblue catalogue are always up-to-date, without requiring manual intervention.

All orders are shipped to customers from the Coolblue warehouse. Optimum visibility in the current warehouse stock and current orders from customers and at suppliers is essential. Coolblue uses various Onetrail services for this purpose.

Coolblue receives data from almost all suppliers via EDI. This involves hundreds of companies with many thousands of products. The information on all items in the online Coolblue catalogue is always up-to-date, without requiring manual intervention.

Coolblue’s suppliers deliver their own articles for processing within the webshops and they also update them themselves. That can be done online via Excel or CSV files via FTP, or fully automated via EDI. In addition to product data, all order information is also automated via EDI.

The purchasing department at Coolblue always has insight in the status of orders or order lines. This includes the performance of their suppliers when it comes to updates and the like.

CUSTOMER DEMAND

A solution for a 100 percent connection of all suppliers.

Coolblue is one of the largest webstores in the Netherlands and Belgium. In order to maintain this position, Coolblue wants to have accurate and up-to-date information from all its suppliers at all times. Without the right product data, prices and stock quantities Coolblue cannot send orders to suppliers and cannot deliver products to visitors of the webshop. The way in which the company managed the order flows until 2015 was no longer tenable and limited further growth in order volume.

Coolblue quickly concluded that directly connecting all of its hundreds of suppliers with regular EDI methods was not feasible. This turned out to be too expensive and too complex for the systems of a large number of suppliers. In addition, Coolblue also had the desire to receive very specific product data and order data in a uniform and secure manner from all its suppliers. This data had to be forwarded directly and reliably in the same format, in high volume, via Coolblue’s EDI connection to the shop manager system and the order processing system.

Coolblue approached Onetrail for a technical solution, where a 100 percent connection of all suppliers was the starting point.

With the stock up-to-date and all the items on the Coolblue site, delivery of orders for Coolblue can begin. This is done from the Coolblue warehouse in Tilburg, the Netherlands, which recently expanded with three halls to a floor space of 88,000 square meters. “That can be compared to about twenty football pitches,” says Maarten Keller, Chief of Packages at Coolblue. APPROACH ONETRAIL

An appropriate way of connecting all parties

Onetrail came up with the following solution: the possibility for suppliers to enter and manage orders and product data in addition to EDI with an easy online tool. With this tool (Onetrail Supplier Portal) suppliers can enter their orders and product data manually or via FTP and have them delivered to Coolblue.

Onetrail takes care of the checking, translation, addition or correction of all entered data to the format requested by Coolblue. The data stream that enters at Coolblue, is therefore always accurate and reliable. This way, Coolblue can always confidently communicate this information to the customers on the website.

Approximately five hundred suppliers are connected to the Trading Partner Network, which is how they exchange data with Coolblue. We are working every day to connect more suppliers. The aim is to arrive at ‘100 percent connected’ for Coolblue.
