Onetrail’s Special Bid and Special Deal module helps you to streamline your order process by electronically processing orders based on special price data.
Both modules recognizes the order type, routes and processes based on distributor and manufacturer specific guidelines.

Special price deals can be processed on order level (meaning one special price deal per order) or on line level (meaning multiple special price deals will be included in one order).

How does it work?

AS A BUYER: you implement our Special Deal module to integrate your special deal price agreement with your distributor or our Special Bid module to integrate your special deal price agreement with your manufacturer in your electronic order process.

This means the tailor-made orders you send to your supplier are processed automatically, accelerating processing times and preventing issues such as retyping errors.

AS A SUPPLIER: you implement our Special Bid module or Special Deal module to integrate your special bid price agreement in your electronic order process. As is the case for buyers, the module recognizes order type, routes and processes based on your specific guidelines.

In addition, you can automatically receive a copy of your order by email in order to notify your sales department about new orders.

Having an up-to-the-minute view of all Special Bid deals will greatly facilitate your quote track for Special Bid and Special Deal arrangements.

A clear overview

All available products at one glance

The Onetrail Product Filter allows you to create a clear, filtered overview in your own application of your suppliers’ products, categories and brands.

How does it work?

Onetrail’s Product Exchange puts all products offered by your connected suppliers in your own application. This can result in a very large number of products in your internal application, which may be overwhelming.

With the Product Filter you limit your daily output of products coming from Onetrail and the number of products shown in your own application. Depending on the Product Filter settings, the number of products can be reduced significantly. This offers you a clearer overview.

The Product Filter allows you to filter products by supplier, brand and product classification.

On top of filtering products, you will also be able to retrieve automatic updates for selected products (SKUs).

E-ORDER / E-INVOICE

Less faults thanks to digitization

The most important electronic messages are often the order and the invoice message. Besides the importance of these messages, the information they carry is often very sensitive. A comma in the wrong place can make the difference between 2 pieces or 2,000 pieces … Such mistakes – that often lead to loss on an order – can be prevented. How? Read more below.

Automated – from order to invoice

Many companies no longer want to process orders and invoices manually and call in the help of an experienced and reliable partner such as Onetrail. Since the order process is completely dependent on data from your trading partners, integration is essential.

This is how an e-order and e-invoicing process works

The automated and integrated e-order and e-invoicing process has the following components:

1. EDI order

This message, the EDI order, is the start of the order process between trading partners. The buyer’s purchase order is translated and transformed. Then the supplier can automatically process the order in his system.

If required, Onetrail can verify the product codes in the order to ensure quality. We also ensure that all orders from or to all partners are exchanged in exactly the same way. This means your system only needs one connection.

2. EDI order acknowledgment

After delivery of the purchase order to the supplier, Onetrail confirms the successful delivery. We do this by sending an EDI order acknowledgment message to the buyer. Any problems will also be resolved or reported.

3. EDI order status

The order status message is produced by the supplier to inform the buyer about order processing details and expectations, such as back order information. This enables the buyer to manage the orders of all suppliers from their own order management application. The EDI order status messages are sent at every change in the order.

4. EDI delivery note

As soon as the supplier sends goods, a packing slip is generated. This is also called a despatch advice. This allows the buyer to prepare for the receipt of the goods. Especially when the goods are delivered directly by the supplier to the customers of the buyer, the EDI packing slip (with serial numbers) is the only way to inform the buyer that the goods are on their way to their customer.

5. EDI invoice

The invoice message, in this case the EDI invoice, is the end of the order process. The supplier sends this message to Onetrail. We translate and transform the message for processing in the buyer’s system. All invoice messages from all trading partners are delivered by Onetrail in such a way that they can all be processed by the buyer in the same way.

By combining all the above mentioned messages via the Onetrail platform, data can be matched. In this way possible errors are detected at an early stage. This can save you a lot of money and headaches!

A fully automated process

Any document to EDI

Onetrail’s Anyform Service converts all incoming email orders or invoices of virtually any format (CSV, Excel, Word, PDF and plain text) into electronic messages. These messages can then be automatically processed in your system.

This is how it works:

Monitor your order processing online

  • Follow the Anyform process in the online Onetrail Message Viewer. This tool provides an up-to-date overview of the input, process status and output of your messages.

  • Receive an email conformation as soon as the electronic message is delivered and processed successfully.
  • If the message deviates beyond recovery Onetrail will generate an automatic email stating that the message has not been processes.

Maximum performance thanks to automated checks of:

Vendor Part Number/SKU verification and/or conversion;
